Privacy notice

Website visitors and enquiries

This notice explains how Ichigokai handles information when you visit this website or contact us about training. Student, attendance and other ongoing training records are covered separately; information about their retention will be provided when you join. Ichigokai also has a separate safeguarding policy.

Who is responsible

Mehar Brar, operating Ichigokai, is responsible for the personal information covered by this notice. For privacy questions or requests, email meharbrar@hotmail.com or contact +44 7949 269 261 on WhatsApp.

What we collect

If you contact us, we receive the name, email address or telephone number and message you provide. To help you find suitable training, we may ask about your age, martial arts experience, grade and interests. Where a parent or carer makes an enquiry, we use their contact details to respond. Please send only what is needed for your enquiry; you do not need to send medical information in an initial message.

Our hosting provider may process technical information such as your IP address, browser or device information, requested pages and access times to deliver and protect the website.

Why we use it

We use enquiry information to answer questions, discuss suitable training and arrange a trial or take steps towards a booking you request. We rely on our legitimate interests in responding to enquiries and organising training, balanced against your privacy rights. Where processing is necessary to take steps towards a contract at your request, that is our legal basis. Our legitimate interests in operating a secure, reliable website also support necessary technical processing.

Providing enquiry information is your choice, but without enough contact information we may be unable to reply or arrange the training you request. We do not make automated decisions about your eligibility to train.

How long we keep it

For people who do not join or proceed with training, we delete enquiry records under our control one month after the last contact. This period applies to our enquiry records, rather than the independent retention arrangements of WhatsApp or Microsoft. Their systems may retain deleted items or backup copies for a further period. If an enquiry becomes a student or course record, the separate information provided for those records applies.

Technical hosting data is kept for the purposes of providing and securing the hosting service and meeting applicable legal requirements. Hostinger’s terms and privacy information explain its processing and deletion arrangements. The one-month enquiry period is not a promise that all provider logs and backups are erased at the same time.

Who processes information

We use Hostinger to host the website, WhatsApp for messages and Microsoft Outlook/Hotmail for email. These providers process information needed for their services; their own privacy information also applies. We may disclose information where required by law. We do not sell enquiry information.

Providers operate internationally and may process information outside the UK. Hostinger’s published addendum provides for UK transfer safeguards where applicable, while Microsoft describes its UK Data Privacy Framework participation and other safeguards. WhatsApp explains its international processing and transfer mechanisms in its privacy policy. The links above provide details and ways to request further information.

Cookies and external services

The website currently has no added advertising or analytics integration, newsletter signup form or embedded social-media player. WordPress administration uses login cookies for authorised administrators; hosting and security services may also use necessary technical information. This notice will be reviewed before optional tracking or marketing tools are introduced.

Our links to WhatsApp, Google Maps, YouTube and Instagram take you to those services. Opening a link lets the destination service process information under its own privacy notice. You can choose email instead of WhatsApp to contact us.

Your rights

Depending on the circumstances, you can request access to your information, correction, deletion, restriction of processing or a portable copy. You can object to processing based on legitimate interests. Contact Mehar using the details above; we may need enough information to confirm your identity and locate the relevant records.

If you are unhappy with how your information is handled, you can raise it with Mehar and you have the right to complain to the UK Information Commissioner’s Office.
